Contacts

From scattered spreadsheets to one contacts book the whole team trusts

12 October 2026 · 5 min read

Priya runs a small print-and-signage business with six staff. Her customer list lived in four places: a spreadsheet, Sam's phone, an old email folder and the part of Dave's brain that was about to go on holiday for three weeks.

Every week someone would ask the same question: "Does anyone have Orchard Print's number?" And every week it took a surprisingly long time to answer.

One book for the whole team

Couchwork's Contacts is a single shared book. Add someone once and everybody can find them. There's room for private contacts too, the ones only you should see, like a supplier you're negotiating with or a mate who happens to be a customer.

Priya imported her old spreadsheet from a CSV in a couple of minutes, then tagged people so they could be found later: trade, retail, VIP.

People belong to companies

Customers rarely exist alone. Three people at Harbour Cafes have different jobs and different inboxes, but they all matter to the same deal. Couchwork groups people by company, and one company page shows everyone who works there and every lead linked to them.

It also tidies up after you. Type "Acme Ltd" in one place and "ACME" in another and the two quietly join up, so you don't end up with a database full of near-duplicates.

"For the first time, I could open a company and see the whole relationship, not just whichever person I happened to be emailing."

Attach people to leads

When a new enquiry arrived, Sam picked the contact straight onto the lead. From then on the lead knew who it was about, and a company's page lists the leads linked to the people who work there. No re-typing names and emails into a pipeline tool.

Look them up in your email

The quiet win: Couchwork's email client sits right beside your contacts. Type a name in To, Cc or Bcc and pick from the suggestions. No more copying addresses out of one tab and into another, and no more sending a quote to the wrong "Chris".
